How to Set Up Route-Based Transport Fees Automatically, No Excel Required

Transport fees are the most manually managed part of school finance. Wrong charges, missed collections, and route changes that nobody updated in the fee system are all fixable with the right setup.

Why Transport Fee Management Is a Mess in Most Schools

Transport fees should be simple: student A lives on Route 3, Route 3 costs PKR 2,500 per month, charge accordingly. In practice, the process involves a transport register, a separate fee register, a bus duty roster, and at least one staff member whose unofficial job is to know which family has a discount arrangement and remember to apply it manually every month.

When a student changes address mid-year, or when a new route is added, the fee structure has to be updated in multiple places. Something is usually missed. The family gets charged incorrectly and calls to complain. The accountant investigates for half an hour and finds a discrepancy that was there for three months.

The Right Architecture: Routes → Students → Fees

The correct setup links these three things automatically:

  • Routes are defined with a fee amount and stops
  • Students are assigned to routes — the transport module knows which bus each student takes
  • Transport fees are generated automatically based on route assignment — no separate entry needed

When a student's route changes, the fee changes automatically from the following month. When a route's fee is revised, every student on that route is updated simultaneously. No spreadsheet. No manual correction. No risk of one student being charged the old amount for six months because nobody remembered to update them.

  • Discounted transport: Concession percentage can be applied to a specific student's transport fee while leaving the route fee unchanged for others

Parent Notifications for Transport
