Why Transport Fee Management Is a Mess in Most Schools
Transport fees should be simple: student A lives on Route 3, Route 3 costs PKR 2,500 per month, charge accordingly. In practice, the process involves a transport register, a separate fee register, a bus duty roster, and at least one staff member whose unofficial job is to know which family has a discount arrangement and remember to apply it manually every month.
When a student changes address mid-year, or when a new route is added, the fee structure has to be updated in multiple places. Something is usually missed. The family gets charged incorrectly and calls to complain. The accountant investigates for half an hour and finds a discrepancy that was there for three months.
The Right Architecture: Routes → Students → Fees
The correct setup links these three things automatically:
- Routes are defined with a fee amount and stops
- Students are assigned to routes — the transport module knows which bus each student takes
- Transport fees are generated automatically based on route assignment — no separate entry needed
When a student's route changes, the fee changes automatically from the following month. When a route's fee is revised, every student on that route is updated simultaneously. No spreadsheet. No manual correction. No risk of one student being charged the old amount for six months because nobody remembered to update them.
Setting It Up in Skoo
- Step 1 — Define routes: Name each route (e.g., "Hayatabad Route", "Gulbahar Zone B"), set the monthly fee, and list the stops in sequence
- Step 2 — Assign vehicles: Link each route to a bus or van with its registration number and driver
- Step 3 — Assign students: In each student's profile, set their transport route. This is a one-time action — the fee association is automatic from here
- Step 4 — Define boarding list: The transport module generates a daily boarding list per vehicle with student names and stop — no separate Excel required
Handling Common Transport Fee Situations
- Half-year joiners: Student enrolled mid-year gets transport fee pro-rated automatically for the partial month
- Self-transport students: Simply not assigned to a route — no transport fee generated, no manual exclusion needed
- Siblings on different routes: Each student's route is independent — the billing is accurate for each
- Route fee change: Update the route fee once; all students on that route receive the new amount in next month's challan without any other action
- Discounted transport: Concession percentage can be applied to a specific student's transport fee while leaving the route fee unchanged for others
Parent Notifications for Transport
Skoo sends WhatsApp notifications to parents when their child boards and exits the school bus — useful for parents whose children travel long routes and who want real-time updates. The notification uses the boarding list to confirm which students were actually on the bus each day, giving parents confidence and giving schools a digital attendance record for transport.
