Not every school bills fees every month. Many collect every two months, some every quarter, and a few take six months or a full year at once. The idea is simple. The paperwork is where schools go wrong: a month gets billed twice, a one-time fee repeats on every challan, or a discount is applied to only one of the months.
This guide explains how to build one challan for several months, what to decide before you print it, and how the numbers work out.
When one challan for several months makes sense
- Parents prefer to visit the bank or the school office less often.
- Your school has always billed bi-monthly or quarterly and your register is built that way.
- Your accountant wants fewer challans to print, file and chase.
If most of your parents pay every month without trouble, there is no reason to change. Keep one month per challan.
Decide these five things first
- Which months does the challan cover? For example November and December, or October to December.
- One due date. The challan has a single due date, so pick one that suits the whole period.
- Which fees repeat each month? Tuition, transport and hostel usually do. Each month should appear as its own line, so the parent can see what they are paying for.
- Which fees are charged once? Admission, exam, annual charges and study packs should appear once on the challan, not once for every month.
- How do discounts and the late fine work? Decide whether a fixed discount applies to every month, and charge the late fine once.
A worked example
These numbers are an example only. Say a student pays Rs 3,000 tuition and Rs 1,000 transport each month, has a fixed sibling discount of Rs 500 for each month, and the school charges an exam fee of Rs 1,500 once. The challan covers November and December.
| Line | Amount |
|---|---|
| Tuition, November | Rs 3,000 |
| Tuition, December | Rs 3,000 |
| Transport, November | Rs 1,000 |
| Transport, December | Rs 1,000 |
| Sibling discount, 2 months at Rs 500 | minus Rs 1,000 |
| Exam fee, once | Rs 1,500 |
| Total on the challan | Rs 8,500 |
A percentage discount works differently. It applies to the whole fee, so a 10 percent discount is taken from the combined amount rather than from each month separately.
Never bill a month twice
Once a challan covers November and December, no other challan should be made for either month. If you generate monthly challans later by mistake, the system should skip the months that are already covered. On paper this is the mistake that creates disputes at the counter, so keep a simple rule: before making any challan, check which months the family already has.
Part payment
A parent may pay only part of a two-month challan. That is fine. Record the payment against the challan and carry the unpaid balance forward to the next challan, instead of making a separate small challan for it. The balance should be visible to the accountant at the counter the next time the family comes.
What reports should say
A challan for two months should read as two months everywhere: on the challan, on the parent's view, and on the defaulter list. A family that has not paid a November and December challan is two months behind, not one. If your reports count it as one, your defaulter numbers will look better than they are.
Doing this in Skoo
In Skoo, open Fees, then Generate, and pick Months on one challan: 1, 2, 3 (quarterly), 4, 6 or 12 months. Each month's fee is a separate line. Fees charged only once and the late fine come once. A fixed discount is given for every month on the challan, and a percentage discount applies to the whole fee. A month is never billed twice. Press Check first to see how many challans will be made and the total before anything is saved.
The parent can pay the whole challan or part of it at the fee counter, and the unpaid balance can move to the next challan. The challan, the invoice list, the parent app and the defaulter list all show the period, for example Nov to Dec 2026, and defaulters count it as that many months. Income in the accounts is recorded when the money is received. See more about fee management in Skoo.
Questions schools ask
Can I change a family from monthly to quarterly? Yes, as long as the months do not overlap with a challan that already exists.
Do I need a new fee structure? No. The same monthly fees are used. You choose how many months to put on the challan when you generate it.
What if a student joins in the middle of the period? Make a challan for that one student for the months that remain.
