A paper register for staff has one weakness: it can be filled in at any time. A teacher who arrives at 8:20 can be marked present at 8:00 by whoever holds the pen. The register records an agreement, not an arrival.
If the school pays for lateness, or wants honest numbers for payroll, it needs a method that records the time the person actually showed up. There are four common ones.
Option 1: Selfie with location
The staff member opens an app on their phone, takes a selfie and the app records the time and the phone's location. The record is accepted only if the phone is inside the school area. This needs no extra hardware. It proves the person was there with their own phone, at that time. It does not stop a person from asking a friend to hold their phone, so a principal should glance at the selfies.
Option 2: ID card scanned at the gate
Each staff member has an ID card with a QR code. A phone, a laptop webcam or a USB scanner at the gate reads it. The first scan is arrival and the next scan is departure. It is quick and cheap. The weakness is that a card can be passed to someone else, so it works best with a guard watching the gate.
Option 3: A fingerprint or face machine
A biometric machine on the wall is the hardest to cheat. It needs hardware and a stable connection. Many schools already own a machine that nobody uses fully. Connecting it to the attendance records is often cheaper than buying a new one.
Option 4: Manual entry with approval
Someone marks attendance by hand, and the principal reviews it. This is the weakest method, but it is still needed for corrections, such as a teacher whose phone died or a gate that was down.
Rules that matter more than the method
- Write the start time. A person is late only after a time you have set and told everyone.
- Allow corrections, with a record. Mistakes happen. The principal should be able to correct an entry, and the change should be visible.
- Look at the day, not only the month. A daily view with times, and selfies if you use them, shows problems while they are small.
- Make the month sheet part of payroll. Attendance numbers that nobody uses for pay are quickly ignored.
Doing this in Skoo
Skoo supports all four. In the app, staff check in and out with a selfie, and the server confirms they are inside the school area using GPS. Staff can also scan their ID card at the gate, or use a ZKTeco fingerprint or face machine connected over the internet. The first record of the day is arrival, marked present or late by the school's start time, and the next is departure.
The principal sees the day with selfies and times, can correct entries by hand, and gets a monthly staff attendance sheet. One thing to know: days worked for payroll are entered by hand when you make the salary sheet. They do not flow from attendance automatically yet. See how to work out a salary sheet, the attendance page and biometric machines.
